Events and Venue Manager

PURPOSE OF ROLE

To work directly to the Senior Events Manager to ensure the successful delivery of the Village Hall, a new cultural venue that will be opening in Circus West Village, the first phase of the Battersea Power Station development which will be opening later this year. 

The primary purpose is to lead on delivery of the Arts programme in the Village Hall and to manage the Village Hall as a new cultural venue for London.

KEY RESPONSIBILITIES

  • Assisting and supporting the Senior Events Manager
  • Support the development of the opening season in partnership with the BPSDC team;
  • Line manage the Village Hall Hosts, technician’s and additional staff required re ticketing and bar during performances or events.
  • Contributing to the programme related content for the Village Hall section of the website.
  • Represent BPDSC with the highest standards in all conversations about the Village Hall
  • Management of programme for the Village Hall including booking all aspects of delivery on the space and event booking software Delphi, issuing contracts and liaising with the company/artist and BPS Estate Management to deliver the event or project successfully;
  • Be the central contact for all cultural events in the Village Hall and ensure all artists are welcomed;
  • Take the lead on daily regular programming in the Village Hall;
  • Ensure all arts programming and budget documents are up to date and being used as they should be.
  • Completing the administration process for all confirmed activity including issuing contracts and liaising internally through weekly Operations meetings.
  • To support the Village Hall in becoming a fun and dynamic cultural destination.
  • Work with the Senior Events Manager to ensure excellent financial management of the venue and to meet financial targets.
  • Contributing to programme via the Curating Table which includes pitching ideas for programme (classes, talks, family activities, performance etc)
  • Running the venue and ensuring that the spaces are in a fit state for artists, private hires and the general public to use;
  • Manage all staffing schedules;
  • Record all client event and financial information accurately on Delphi and pull reports for sales and enquiries;
  • To provide an excellent and professional service;
  • Follow financial procedures and work with the Senior Events Manager to successfully manage and deliver on budget;
  • Trouble shoot any issues in consultation with the Senior Events Manager;
  • Ensuring all marketing materials are provided by the company/artist for use on the website and across social media and that all ticketed events are loaded on the ticketing platform;

SKILLS AND EXPERIENCE

  • Degree or equivalent experience
  • Highly proficient in Excel/Word/PowerPoint/Mac
  • Excellent oral and written communication skills
  • Relevant experience in venue and staff management
  • Significant budget management experience and working with sales targets
  • Experience of producing documents to meet internal/external expectations
  • Experience of assisting in the setup of processes and procedures, project planning/management
  • An eye for detail and takes pleasure in doing a good job
  • A sense of humour and an effective team player
  • Excellent interpersonal skills: experienced in working with colleagues at all levels of seniority, and in public consultation
  • Highly organised with an ability to prioritise and maintain quality when working under pressure while delivering targets to agreed deadlines
  • Ability to think strategically and take initiative
  • Thoroughness, accuracy and attention to detail
